5 Communication Hacks Every Leader Should Know

Most leaders don’t struggle because they lack ideas or vision. They struggle because their message doesn’t land. The words might be right, but the impact falls short. And in today’s fast-paced workplace, that’s a recipe for confusion, frustration, and missed opportunities.

The good news? You don’t need to become a wordsmith or motivational speaker. You just need to apply a few simple communication hacks and watch how quickly things start to shift.

Why Leaders Must Master the Art of Communication

Leadership isn’t just about strategy, it’s about connection.

Every time you speak to your team, you’re either creating clarity or adding to the noise. And when your message isn’t clear, people hesitate. They second-guess. They disengage. As a result, decisions take longer, performance dips, and alignment fades.

That’s why great leaders don’t just communicate. They communicate with purpose.

Below are five practical communication hacks that I teach in my leadership programs. They’re simple, but powerful—and they work.

1. Use the Right Communication Style

Not every conversation needs the same approach. In fact, using the wrong style is one of the most common traps leaders fall into.

There are three styles I teach:

  • Directive – clear, fast, to the point (great for urgency)
  • Inclusive – invites ideas and input (best for collaboration)
  • Influential – paints a picture, tells a story, connects emotionally (ideal for inspiration)

💡 Hack: Before your next meeting, ask: What style does this moment need?

Match your delivery to the result you want, not just your default comfort zone.

2. Start With the End in Mind

Many leaders talk through a process, hoping their team will figure out the outcome. That’s backwards.

People need to know where you’re heading first.

Whether you’re pitching a new idea or setting direction, always start with the end result. What do you want your team to do, think, or feel after you’ve spoken?

💡 Hack: Try this sentence starter: “By the end of this meeting, I want us to…”

It brings focus and clarity right from the first minute.

3. Use Metaphors and Stories

Facts tell. Stories sell. And more importantly, stories stick.

If you want your message to be remembered, anchor it with a metaphor or story. Our brains are wired to connect through narrative. It makes your leadership feel more human and your message more relatable.

For example: “Leading this change is like upgrading the engine while the plane’s still in the air.”

💡 Hack: Think of a recent leadership challenge. How would you explain it to a teenager? That’ll give you your metaphor.

4. Repeat With Intent

Repetition isn’t boring, it’s brilliant. But it has to be intentional.

Reinforcing your key messages through different channels (email, meetings, 1:1s) helps them sink in. Especially in busy workplaces where people are distracted, clarity comes from consistent repetition.

💡 Hack: Choose three key phrases you want your team to remember this quarter. Use them often, in multiple formats.

5. Use the “What’s In It For Me?” Filter

This one changes everything.

We often communicate from our own perspective what we want to say. But real impact comes when you flip the lens.

Before you speak, ask yourself:
“What does my team need to hear right now?”
“How does this help them?”

💡 Hack: Next time you’re writing an update or announcement, write the first draft as you normally would. Then rewrite it as if you were them. You’ll notice the difference immediately.

Start With Just One Hack

You don’t need to change everything overnight. Start with one communication hack. Practice it. Notice how your team responds. Then build from there.

Last week I was sitting with a senior leader from a fast-growing business. She looked exhausted. When I asked how things were going, she let out a deep sigh and said, “Honestly, I feel like I’m constantly running but not actually getting anywhere.”

It’s a comment I hear far too often.

In today’s fast-paced world, leadership has become a juggling act. With hybrid teams, shifting priorities, and endless meetings, it’s easy to confuse being busy with being effective. But the truth is, the two are very different.

When I asked this leader a simple question, “Do you feel like you’re being an effective leader?”, she paused. After a few seconds, she quietly said, “I’m not sure.”

That’s when we had a real conversation.

So how do you actually become an effective leader?

Here are three things I see the most effective leaders do differently. And no, it’s not about working longer hours or micromanaging your team.

1. They Focus on Outcomes, Not Just Activity

One of the first things I get leaders to do is review how they’re spending their time. I call this the Leadership Activity Map. You jot down what you’re currently doing across the week, then map out what you should be doing if you want to be an effective leader.

Most of the time, there’s a massive gap.

Effective leaders know they’re not paid for busyness, they’re paid for outcomes. They focus on what truly moves the needle, not the admin that clogs up their calendar.

2. They Build Trust, Not Just To-Do Lists

I remember working with a brilliant CFO who admitted she hadn’t had a proper one-on-one with her team in over three months. “Too much going on,” she said. But the team felt disconnected. Resentful, even.

Leadership isn’t just about making decisions, it’s about building relationships. You can’t influence, inspire or grow your people if you’re not spending time with them. The best leaders I know have one-on-one catch-ups in the calendar every single week, even if it’s just for 15 minutes.

3. They Reflect and Adjust – Often

Being an effective leader isn’t a destination – it’s a practice. It’s like learning to drive. At first, every decision is conscious. But over time, with the right reflection and feedback, it becomes second nature.

I always ask leaders: When was the last time you reflected on how you’re leading?

Great leaders pause. They look at what’s working, what’s not, and where they need to adjust. Whether it’s how they’re communicating, what they’re delegating, or how they’re showing up in meetings – the reflection time is the secret weapon.

The Bottom Line?

Go the Matilda’s – Til Its Done!

Last night my family attended the FIFA Women’s World Cup Opening Football (or soccer for the Americans) match between Australia and Ireland, wow what a night.   If you have ever been to a big sporting event you can feel the excitement and anticipation in the air.

We were lucky enough to get tickets to go and support our Aussie Matilda’s in their opening match.  We proudly wore our Australian jerseys and cheered on as the team came out on top with a win.

It got me thinking about what great coaches or leaders do to help prepare their people for something that is big.  It could be a big project, launching a new product into the market or starting a new division.  Doing something big is usually something that is out of the norm and potentially creating a risk of failure.

I think leaders need to identify more big opportunities, big innovations and big ideas that can help to unify and inspire their people toward something more.

Going back to the Matilda’s, it has been very interesting to watch their lead up to this massive world cup event.  Imagine the pressure that these women players have experienced leading up to a World Cup on home soil.  With the hopes and dreams of the nation riding on their shoulders this is something that they have been preparing for over the past few years.

The Matilda’s even created a campaign that is not about winning (which will be a challenge in itself!) but about giving it everything to do their best.  The campaign is called ‘Til It’s Done.’  This approach is not just about what occurs on the pitch, but how pursuing greatness is a never-ending process that occurs on and off the pitch.  This phrase is what they are using to help them focus as they play in the World Cup and help them keep things in perspective, a very clever approach.

So what are you doing with your people to lead them toward greatness?  How are you inspiring, motivating and stretching their minds to see and believe in what is possible?  I think too often we get busy with other distractions and forget how important it is to unify and mobilise our people.
